1. Introduction
This document describes the process and terms applicable to request the deletion of a CheckOP account and the data associated with it. Account deletion is an irreversible process that will result in the permanent loss of access to the Service and all stored data.
This procedure is available to customers who wish to exercise their right to data deletion or who wish to completely terminate their relationship with CheckOP.
2. Before Requesting Deletion
2.1 Important Considerations
Before proceeding with the deletion request, please consider the following:
Deletion is permanent and irreversible:
- Once the account is deleted, it will not be possible to recover it.
- All associated data will be permanently deleted
- You will not be able to access historical, reports, or previously stored information
Alternatives to consider:
- Temporary suspension: If you only need a break, see temporary suspension options.
- Unsubscribe: You can cancel without immediately deleting data.
- Data export: Export all the information you need to keep first
2.2 Data Export.
Customer Obligation: It is the customer's responsibility to export all data they wish to retain before requesting deletion.
How to export data:
- Log in to app.checkop.co with your administrator credentials.
- Use the export functions available in each module
- Download reports, customer listings, task histories and any other necessary information
- Verify that exports are complete and usable.
Available formats:
- CSV/XLSX for tabular data
- PDF for reports and documents
- Other formats depending on the module
2.3 Implications of Deletion
Access:
- All users will lose immediate access to the platform.
- Access credentials will be deactivated
- The mobile application will stop working
Data to be deleted:
- Account information and settings
- User data and profiles
- Registered customers and locations
- Completed tasks and forms
- Multimedia evidence (photos, videos, signatures, voice memos)
- Activity histories and reports
- Process, equipment and form configurations
- Integrations and their configurations
Data that can be retained:
- Information required for legal or tax compliance
- Billing records according to legal requirements
- Metadata required by security regulations
3. Request Process
3.1 Who Can Request
The account deletion request must be made by:
- The account holder or legal representative of the company.
- An authorized administrator with powers to make this decision
- A person duly authorized in writing to act on behalf of the company.
3.2 How to Make the Request
Option 1: Support Portal
- Login to support.checkop.co
- Create a new ticket by selecting "Account Deletion Request".
- Complete the form with the required information
- Attach the required documentation
Option 2: Email
Send your request to soporte@checkop.co with the subject "Account Deletion Request - [Company Name]".
3.3 Required Information
Your request must include:
Identifying information:
- Full company/account name
- Email address registered as the main administrator
- NIT or tax ID of the company
- Name and position of the person requesting
Statements required:
- Confirmation of authority to make this request
- Confirmation that you have exported the data you wish to keep
- Confirmation that you understand that the deletion is permanent and irreversible
- Confirmation that you wish to proceed with the deletion
Supporting documentation (if applicable):
- Letter of authorization on letterhead (for authorized third party requests).
- Identity document of the requester
- Power of attorney or legal authorization (if applicable)

5. Application Processing
5.1 Verification
Upon receipt of the application, Progresus:
- Verify the identity of the applicant
- Confirm the authority to make the request
- Review account status (outstanding balances, active subscription, etc.)
- Contact the applicant if additional information is required
5.2 Confirmation Period
Confirmation of the request:
- Progresus will confirm receipt of the application within five (5) business days.
- A final confirmation communication will be sent before proceeding with the deletion.
- The customer will have a cooling off period of five (5) business days to cancel the request if he/she changes his/her mind.
5.3 Execution of Removal.
Deadlines:
- Data will be removed from production databases within ninety (90) days after final confirmation
- Data in backup copies will age naturally according to rotation cycles
Process:
- Deactivation of account access
- Deletion of production data
- Confirmation of deletion to requestor (when requested)
5.4 Confirmation of Deletion
Upon request, Progresus will provide written confirmation that:
- The account has been deactivated
- The data has been removed from the production systems
- The process has been completed as requested
6. Exceptions and Limitations
6.1 Data That May Be Retained
Regardless of the deletion request, Progresus may retain certain data when:
- It is required by applicable tax or commercial legislation
- It is necessary for compliance with legal obligations
- Required by judicial or administrative orders
- It is necessary to establish, exercise, or defend legal claims.
- There are outstanding balances to be paid
6.2 Outstanding balances
If there are outstanding balances:
- Deletion may be conditioned upon settlement of the balances.
- Progresus may withhold data related to billing until the outstanding financial issues are resolved.
6.3 Legal Proceedings
If the account is involved in pending legal proceedings, deletion may be suspended until such proceedings are resolved.
7. Data Subject Rights
7.1 Right of Deletion
Personal data subjects have the right to request deletion of their personal data when:
- The data is no longer necessary for the purpose for which it was collected.
- The data subject withdraws consent and there is no other legal basis for the processing.
- The data subject objects to the processing and no other legitimate grounds prevail
- The data have been processed unlawfully
- The data must be deleted in order to comply with a legal obligation.
7.2 Exercise of Individual Rights
Individual users (employees, contractors) of a client company who wish to exercise their data protection rights should:
- First contact their employer (CheckOP's Client), who is the Data Controller.
- The Client can use the platform's tools to deal with such requests
- Progresus will assist the Customer as set out in the Data Processing Agreement.
